We’re Vidalytics.com. A video marketing platform that helps entrepreneurs scale their businesses in the face of bigger, better-funded competitors. We do this with the advanced tools in our video marketing & hosting platform. We’re 9 years old 🎂 and growing consistently each year. And you’re going to be a part of the team that will add a few zeros to that growth rate.

What You’ll Be Doing (Job Tasks) 👏

  • Run full monthly close: accruals, prepaids, journal entries, balance sheet reconciliations, and review packages.
  • Maintain daily/weekly bookkeeping in QuickBooks Online (QBO): bank feeds, coding, and reconciliations.
  • Revenue recognition (RevRec): update/run our Excel model monthly, ensure accurate revenue timing and classifications.
  • AP & expense workflow: receive bills, import them into QBO, create/match them to payments.
  • Expense & class allocations: allocate costs across our defined QBO classes (per departmental structure) for accurate ROI tracking at the executive level.
  • Variance analysis: review vendors month over month; identify and explain unusual changes (e.g., annual vs. monthly contracts).
  • Audit & due diligence prep: produce clean financial packages, provide supporting schedules, and serve as point of contact when auditing our books.
  • CPA firm onboarding & relationship management: help onboard our new CPA firm, get them up to speed on our books, systems and history, and own the ongoing relationship as their main point of contact.
  • Cash-to-accrual projects: lead accounting cleanups or system improvements to strengthen reporting accuracy.
  • Historical financial cleanup: resolve legacy inconsistencies and ensure all transactions are properly coded and reconciled.
  • Special projects: support ad-hoc analysis, process optimization, or data cleanup related to company initiatives.
  • Cross-functional collaboration: partner with Operations, Finance, and our CEO to provide timely insights and financial clarity.
  • Process documentation: maintain lightweight SOPs and contribute to the documentation of all processes in the department.
  • System expertise: serve as our internal QBO expert and main accounting contact for integrations (e.g., Maxio), and external accounting partners.

Your Experience ✨

  • 5+ years of accounting experience, including full-cycle month-end close and reconciliations.
  • Strong GAAP accounting knowledge — accruals, prepaids, deferred revenue, and variance analysis.
  • Extensive QuickBooks Online experience (QuickBooks certification is a plus).
  • Undergraduate degree in Accounting, Finance, or related field from a US institution.
  • Excel power-user — able to use VLOOKUP, SUMIF, Pivot Tables, and complex formulas (BI/workbook experience a plus).
  • U.S. C-Corp accounting context, including familiarity with 1099/W-9 workflows, audit prep, and compliance.
  • Analytical and curious mindset — you don’t just “book” entries, you understand the why behind them.
  • Strong communication skills — able to clearly explain accounting logic to non-finance teammates.
  • Autonomy – self-starter who can work independently and meet deadlines in a remote setup.
  • Extreme attention to detail and ownership over the accuracy of our financials.

Who You Are (Personality Type) 🦁

  • CPA (GAAP-focused) preferred (tax CPA not required).
  • QuickBooks Online certification.
  • Experience with SaaS or subscription-based businesses.
  • Experience cleaning up historical financials and preparing for due diligence.
  • Familiarity with Maxio/Chargify
  • Comfort using ClickUp for task tracking.
  • Experience working alongside an external CPA firm or auditors, including being the day-to-day point of contact and handing over clean supporting schedules.
